What is the maximum retention time?

You can set up retention times under Setup > Settings. To do so, you need Administrator level access. Please note that changes are made immediately and irrevocably once you click save.

The standard settings for a Pro (Premium) account are:

Message Archive

Message Archive is the archived mail - the HTML copy we show as a preview when you view a message.

Note

That we only have a Message Archive of a message if the Archive Flowstep was used at that point in the flow. The maximum retention period (for Pro) is one year.

Message Details

Message Details consist of technical logging and optional message details. Technical logging includes the time, MX on which we deliver, and any information we get back, such as a 250 OK, bounces, etc. We also store headers such as the To: field here. Optional message details are Open and Click tracking, where we store such things as time, link and OS.

Note

That we store open and click information only if those Flowsteps were used in the Flow at that time. Message Details has a maximum retention period of three years.

Do we store open and click data?

Archive and Open and Click tracking are always optional. You have to turn those on in a flow on purpose. If you use open and click tracking we recommend that you inform your recipients through your privacy policy. As always, consent is important.

What is the minimum
The minimum for Message Archive is 1 month. You can, of course, choose not to archive at all. The minimum for Message Details is 3 months. If you do not use open/click tracking, SendPro still saves the technical logging from the Message Details for 3 months.
Why Message Details has a minimum setting
Technical logging is used to perform internal checks, such as verifying the proper functioning of SendPro and diagnosing deliverability issues. When a client experiences difficulties delivering to Google, it’s essential to determine whether the issue is isolated or affecting multiple clients. To ensure accuracy in this analysis, at least three months of data is required-this is the minimum timeframe needed to draw reliable conclusions.
